Case Study: Office Facility Management

Shannon Waltchack recently took over the management of a portfolio of eight office buildings consisting of approximately 275,000 square feet in the Birmingham area. From the outset of each new assignment we rebid all vendor contracts to both reduce operating costs and enhance vendor quality. Utilizing our existing 1.5 million square foot portfolio, we are able to achieve greater economies of scale than a stand-alone property. For the subject office portfolio we were able to save a tremendous amount of money and upgrade their level of service. The first year we were able to accomplish:

1. A 34% annual savings in Janitorial Expense
2. A 57% annual savings in Pest Control services
3. A 28% annual savings HVAC Repairs due to implementation of a new Preventative Maintenance Program
4. A 49% annual savings in Elevator Repairs and Maintenance
5. A 26% annual savings in Landscaping expenditures
6. A 25% annual savings in Garbage and Waste services
7. Successful Property Tax Protest – annual savings of 10%
8. Consolidated vendors allowing us to increase our contract and negotiation leverage
9. Improved Tenant Response time and relations by integrating our Work Order System
10. All properties are placed on an annual preventative and recurring maintenance plan ensuring that the properties are maintained appropriately
11. Assisted in Risk Management by ensuring all Tenants and Vendors have their insurance up-to-date and are in compliance with insurance requirements

Approximately 9 months after taking on this assignment, we surveyed the Tenants to see how we were doing. All tenants rated our service and their satisfaction as either Good or Excellent.

We achieved these results through our knowledgeable and experienced management and through the expertise of our service team with a combined 60+ years of experience in facilities management. Our services include building maintenance, vendor management, accounting and financial reporting, operating budgets, lease administration, condition assessments, and project and construction management.
